14 - 18 May 2008 PAN EXHIBITION ORGANIZERS REGULATIONS of ATTENDANCEGENERAL TERMS
1. The organizational management is entirely and exclusively responsible of the architectural form & structure of space within the exhibition and therefore, is entitled to relocate an exhibitor’s prearranged setting of the same dimensions of course, only to facilitate the exhibition’s operational means. 2. In case the exhibition is cancelled or interrupted by uncontrolled fire or of some other natural disaster the organization manager can not be held responsible and is not compelled to compensate the exhibitors, who in turn, will withdraw any claims against the management. On the contrary, if the organizational manager decides to cancel the exhibition then management is compelled to give direct notice to the exhibitors and return their deposits. 3. The exhibitors will be found liable for false identification and information. They are compelled to submit the precise items of their exhibits in the relative statement of attendance. In no case, are the exhibitors eligible to sublease or to cede the space assigned to them, nor are they permitted to exhibit merchandise other than the declared. In such a case the manager will be forced to remove the exhibitor or the imposer immediately and charge him with the expenses that likely to be required for the removal. 4. The products that are to be exhibited must be transported at the exhibition centre at least 24 hours before the exhibition opening and the completion of the settings and displays must be prepared at least 12 hours before the opening. The delivery of the stands and their structure begins two days before the exhibition’s opening, similarly, the removal of the exhibits and decor must be completed within 24 hours after the exhibitions expiry date. 5. The Organization Manager has the responsibility of keeping the order and the safety regulations of the exhibition building but is not held accountable for the losses and damages of the exhibits. Consequently the exhibitors are compelled to take the necessary measures of precaution for their exhibits and personal objects and advised to take out a private insurance policy for such inconvenience. 6. It is forbidden for all items used as exhibits to be removed from the exhibition area throughout the duration of the exhibition, even if they are to be replaced. 7. The exhibitors must hold the necessary and required legal documentation concerning the transport of their exhibits. Failing to do so, burdens the exhibitor exclusively. 8. Management is given the right to change the date of exhibition under crucial circumstances and/or to avoid its inconvenient operation. 9. It is forbidden to display exhibits in the corridors of the exhibition centre, while the exhibitors are bound to subject to the strict police and fire brigades instructions, as well as, the building regulations as they have been determined by the owner. 10. In case of additional structural manufacturing or furnishings requested by the exhibitor, it is obligatory to submit the relative designs to the organizational manager and receive a registered consent, so as to ensure the safety regulations and the good operation of the exhibition. 11. Management is only responsible for the cleanliness of the communal corridors and areas of the exhibition centre and not for the cleanliness of the stands. 12. It is forbidden to inconvenience the neighbouring stands in any way and to surpass the strictly determined limits assigned to each and every exhibitor’s stand. 13. The exhibition centre will be open every day from 12.00 to 22.00 14 The exhibitors should be at their posts daily thirty minutes (30') before the opening hour and should leave after security personnel has arrived for night watch. 15. By violating the attendance regulations, management is obligated to remove the exhibitor and close down his stand with the imposition of the necessary expenses to transport and storage his exhibits.
FINANCIAL TERMS1. The space assigned for the stands is calculated horizontally, unless otherwise determined in the relative statement of attendance signed by each exhibitor. 2. The electricity power and its consumption, the placement of light fittings and sockets are not included in the rent; they are paid up front to the contractor, selected by the organizational manager. 3. All the materials used for the structure of stands, such as the carpet, the light stands and fittings etc., are property of the organization manager and of the contractors, therefore their value cost in damages or loss will be imposed upon the exhibitor. 4. The stand prices do not include F.P.A. or any other taxes. 5. In case at which the exhibitor does not appear to receive his stand, for any reason or reasons, and cancels his attendance in the exhibition, he will be held accountable for the full amount of costs agreed to begin with in his statement of attendance. 6. All financial obligations must be paid in accordance to the agreement, the latest fifteen days (15) before the stand delivery date. Otherwise, management will have to hand the stand over to another exhibitor and to demand the costs that may intervene. 7. The present regulation is in annexation with the relative statement of attendance, the signature of which involves the reading and the knowledge of its terms. Responsible Courts, resolving differences that occur from enforcing the present are the Courts of Athens. |
